Delete your workspace

An owner can ask Tidehawk to delete the workspace and everything in it. This is a UK GDPR Article 17 erasure request.

  • You must be the owner.
  • Take an export first if you want a copy. See Export your data.
  • You will need to type your workspace name exactly to confirm.
  • Only one erasure request can be in progress at a time.
  1. Open Settings and go to the Data & Privacy section.
  2. Under Delete account, select Request erasure.
  3. Optionally give a Reason. It helps the team and is not required.
  4. Type your workspace name in the confirmation field.
  5. Select Submit erasure request.

Tidehawk emails you a confirmation with the request reference.

  1. Submitted. The request is recorded and queued for review.
  2. Reviewed. Tidehawk staff review it. Releasing an erasure for execution requires approval by a second administrator, so no single member of staff can destroy a customer workspace alone.
  3. Cooling-off. Once approved, the deletion is scheduled 14 days out. Nothing is deleted during that period.
  4. Executed. On the scheduled date, every row belonging to the workspace is permanently deleted.
  5. Certified. You receive a signed certificate of erasure by email.

You can cancel at any point before the deletion begins: while it is submitted, under review, or scheduled but not yet past its date. Once execution has started it can no longer be cancelled.

The current app does not put a cancel button on the Settings page. Email privacy@tidehawk.co or support@tidehawk.co from the owner address, quoting the request reference from your confirmation email, and the request will be cancelled. Tidehawk emails you to confirm the cancellation.

When the deletion completes, Tidehawk emails the address that submitted the request a certificate of erasure. It is a signed PDF stating the request reference, when it was submitted and executed, and how many rows were deleted and how many pseudonymised. The signature is what makes it checkable rather than merely a claim.

The download link for the certificate is valid for 90 days, and stays reachable after the workspace and all of its sessions are gone. Save the PDF for your own compliance records.

Erasure removes your workspace’s data. Three things survive it, each for a reason:

  • Pseudonymised audit rows. Audit entries that must be retained are stripped of IP addresses, user agents and identifying fields first, leaving only action names and timings. These are deleted a year later.
  • The record of the erasure itself. The request, the submitter address and the certificate reference are kept as proof the erasure happened. Without that record, Tidehawk could not demonstrate it complied.
  • Billing records. Invoices are kept for the period UK tax and company law requires.

Database backups roll forward, so an erased workspace is absent from all backups within seven days. The certificate states this.

If you have already cancelled your subscription, a 30-day retention window is running and the workspace is deleted automatically at the end of it. You can shorten that window from the Billing page rather than submitting a separate erasure request. See Change plan or cancel.
