Invite your team
Invite colleagues by email and choose the role they join with.
Before you start
Section titled “Before you start”- You must be an owner or an admin. Technicians cannot send invitations.
- You need the person’s work email address.
- Decide whether they join as Technician or Admin. See Roles and permissions.
Send an invitation
Section titled “Send an invitation”- Open Team.
- Select + Invite member.
- Enter the Email address.
- Choose the Role.
- Select Send invite.
The dialog confirms “Invitation sent to” followed by the address, and the person appears on the Team list marked Invite pending until they accept.
What happens next
Section titled “What happens next”Tidehawk emails the person a single-use invitation link. The link is valid for 7 days. When they follow it they set their own name and a password of at least 12 characters, and their account is created with the role you chose. Their email address counts as verified, so they can sign in straight away.
Every member must add a second factor before they can use the workspace. New joiners are taken through that step on first sign-in. See Two-factor authentication.
The invitation is recorded in the audit log, and so is the acceptance.
Re-sending and correcting an invitation
Section titled “Re-sending and correcting an invitation”Send the invitation again from the same dialog. Two rules govern what happens.
- A repeat within a minute is treated as a double-click. If an invitation for the same address and the same role was created less than 60 seconds ago, Tidehawk reports success but sends nothing more and leaves the original link working. This stops the invitee receiving two links of which only one works.
- A changed role supersedes the earlier invitation. If you send again with a different role, any earlier unused invitation for that address is cancelled and a new link is emailed carrying the new role. This works in both directions, so correcting an accidental Admin down to Technician genuinely revokes the higher role.
After more than a minute, sending again with the same role also cancels the old link and issues a fresh one. Only ever one invitation link per person is live.
Limits and errors
Section titled “Limits and errors”- Inviting someone who is already on your team returns “That person is already a member of your team.”
- A workspace can send 20 invitations per hour. Beyond that you see “Too many invites. Please try again later.”
- If the email fails to send, the invitation is discarded so your next attempt genuinely re-sends.
- Support staff working inside your workspace cannot send invitations. See How Tidehawk protects your data.
Removing someone
Section titled “Removing someone”On the Team page, use the remove control next to their name and confirm. They lose access to the workspace immediately, not when their session would otherwise expire. Owners cannot be removed, and you cannot remove yourself.
